1. Use of Exhibit Space
The exhibitor agrees that his/her exhibit shall be admitted and shall remain in strict compliance with the established rules and show hours. Expo Committee reserves the right to reject, eject or prohibit any exhibit in whole or in part, or exhibitor or his/her representatives with or without giving cause.
Distribution of Literature and Promotional Items
Booth personnel (exhibitors), and any other hired help are not allowed to distribute literature or promotional items of any kind outside the confines of the contracted exhibit space. This restriction includes sidewalks outside the Miami Mart Airport Hotel and Convention Center as well as hotel locations in conjunction with the event. The distribution of any items that interferes with the activities in or obstructs access to neighboring booths, or that impedes the flow of traffic in the aisles, is prohibited.
Demonstrations and Promotional Activities
All demonstrations and promotional activities must be confined to your contracted exhibit space. For the comfort and safety of persons watching your demonstration, at least three feet of space must be provided for the audience within the designated booth space. If large crowds gather and interfere with the flow of traffic in the aisles, Expo Committee has the responsibility to rectify the situation. Expo Committee may stop all further demonstrations by the exhibitor until the exhibitor has taken appropriate action to ensure there will be no further violations. Booth displays and equipment shall not extend into the aisles. This includes all signs, banners, etc. Exhibitor representatives wearing distinctive costumes or carrying banners or signs separately or as part of their attire must remain in their contracted exhibit space.
Pets
Live animals or pets are not allowed on the show floor and may NOT be displayed as part of the exhibit booth.
Exhibit Space
Exhibit space consists of a 10 x 10 booth, piped and draped, equipped with one each 8-foot draped table, two chairs, one waste basket, one sign (up to two lines in height ), and two tickets for an international buffet.
Show Hours
All exhibitors shall abide by the show hours. No exhibitors shall be allowed to dismantle their booth prior to the closing of the show on November 19, 2009 at 8:00pm. This includes any type of packing such as the packing of brochures, taking down signs, etc. If an exhibitor is found dismantling their booth, measures deemed necessary by Expo Committee will be taken in order to stop the process.
Set up / Tear Down
Set-Up: Show day November 19, 2009 7:00 AM - 2:00 PM. Booth set up must be completed by 2:00 PM.
Tear Down: Immediately following the show until 11:00 PM. Special tear down arrangements are made with the DoubleTree Miami Mart Airport Hotel & Convention Center direct, please contact (800) 222-TREE.
Selling Products
Exhibitors are allowed to sell products on the show floor.
Motor Vehicles / Trailers
Motor vehicles and/or trailers are NOT allowed on the show floor unless they are part of your exhibition. The exhibitor must adhere to the following guidelines. a) Trailers or Vehicles must be in the assigned booth by 10:00 AM. b) No draining or re-fueling of fuel tanks is allowed in the building. c) Vehicles can NOT be started up in the exhibition hall. The exhaust may activate the smoke detection system. d) No alterations or repairs may be made on vehicles.
2. ADMISSION/BADGES
Expo Committee shall have sole control over admission policies at all times.
Exhibitor Badges
The exhibitor badge and holder allows access to the exhibit floor during set-up, tear-down and one hour before and after regular show hours. Badges must be worn at all times to gain admittance to the exhibit floor. A company badge may be worn in addition to the official show badge, but not instead.
Children / Age Policy
Due to safety and insurance limitations, A registered adult MUST accompany children UNDER the age of 16 and they must obtain a badge.
3. CARE OF BUILDING & EQUIPMENT
Exhibitors and/or their staff must not damage or deface the exhibition facility or the booths and equipment of other exhibitors. When such damage occurs, the exhibitor is solely responsible and is liable to the owner of the property so damaged
4. EXHIBIT CONSTRUCTION
South Florida Plumbing & Mechanical Trade Expo adheres to booth construction guidelines developed by the DoubleTree Miami Mart Airport Hotel Managers. Specific guidelines are provided in the “BOOTH CONFIGURATION” page. Please contact Expo Committee to discuss any booth construction issues.
5. PARKING
Self-parking available at $5.00 and $8.00 for Valet parking (No in and out privileges)
6.SHIPPING AND RECEIVING
Receiving hours are Monday through Friday from 7 am to 6 pm. The Doubletree Miami Mart Airport Hotel does not allowed unauthorized personnel the usage of the Genie lift or any other hotel equipment for the movement of materials. The charges for shipping and receiving are as follows, based on inbound weight per total shipment.
